This Policy explains how subscriptions to CanProcX (operated by Canadian Procurement Exchange Inc.) are billed, how to cancel, and when refunds may be available. It forms part of, and should be read together with, our Terms of Service.
Paid CanProcX plans are sold as an annual platform licence on a minimum one-year term (annual agreement), with an included allocation of bid credits. 2.2 Bid credits. One bid credit = one AI-assembled submission package prepared to a tender’s local standards. Bid credits are non-refundable once activated. Unused credits roll over for 90 days upon renewal. Consultant-led / fully-managed complex bids are a separate, custom-quoted add-on and are not bid credits.
2.3 All prices are in Canadian dollars (CAD) and are exclusive of applicable taxes unless stated otherwise. CanProcX does not store full card details; these are handled by Stripe.
3.1 You can cancel auto-renewal of your plan at any time. To cancel:
Cancellation takes effect at the end of your current paid term. You retain access (and any remaining entitlements) through the end of the annual term you have committed to, and the plan will not auto-renew for a further term.
Because plans are sold as an annual agreement, cancellation does not refund the current term once it has begun, and does not refund bid credits that have been activated, except as expressly stated in this Policy or required by applicable law.
4.1 Paid plans are sold as an annual agreement, and a free Discovery tier lets you evaluate the platform before committing. Accordingly, fees for the current term are generally non-refundable once the term has begun, and activated bid credits are non-refundable. The following exceptions and discretionary cases apply:
4.2 Approved refunds are issued to the original payment method via Stripe and may take several business days to appear, depending on your card issuer.

If you believe a charge is incorrect, please contact our support team before initiating a chargeback with your bank or card issuer. Most billing issues can be resolved quickly and directly.
6.1 Filing a chargeback for a legitimate charge (for example, a renewal that was not cancelled in time) may result in suspension or termination of your account while the dispute is reviewed.
6.2 This Section does not limit any rights you have under applicable consumer-protection law or your card issuer’s rules.
7.1 We may update this Policy from time to time. Material changes affecting how you are billed or how you cancel will be communicated with reasonable advance notice, and will not retroactively change charges already incurred.
